Columns of the Excel templates

The totals row adds breaks and hours in [h]:mm format so that totals above 24 hours display correctly. Signature lines for employee and employer and a recordkeeping note (29 CFR 516.2) sit below the table.

How to use the template

  1. Enter name, employer and period at the top; in the weekly template the Monday date, in the monthly template the first of the month. The days fill in automatically.
  2. Adjust the weekly target (default 40) or daily target (default 8).
  3. Enter start, end and break per day. Note vacation or sick days in the Note column; to credit them, enter the target as hours or set that day's target to 0.
  4. Printing: the print area fits one Letter or A4 page. Choose "Save as PDF" in the print dialog for a PDF.

What a timesheet must record

Under the FLSA (29 CFR 516.2) employers must keep, for each non-exempt employee, the hours worked each day and the total hours each workweek; time cards are kept for two years and payroll records for three. No particular form is required, so a spreadsheet is acceptable as long as it is complete and accurate. The templates add breaks, target and balance on top of the required fields. Frequently asked questions

Is the template really free?

Yes. Both files download without sign-up and may be used freely, including in a business. A small credit to calchours.com sits below the table; you may remove it.

Why does Excel show the wrong total time?

If you format cells yourself, use the [h]:mm format with square brackets for totals. Without the brackets Excel wraps around after 24 hours. The templates are already formatted this way.

How do I enter an overnight shift?

Start 10:00 PM, end 6:00 AM: the formula detects that the end is before the start and adds one day, giving 8:00 minus the break.

Can I use it in Google Sheets?

Yes. Upload the file to Google Drive and open it with Google Sheets; formulas and time formats carry over. Date formats may differ depending on your locale settings.

How are minutes converted to decimal hours?

The Decimal column does it: minutes divided by 60, so 7:45 becomes 7.75 hours. A chart for every minute is on the hours to decimal page.
